This Privacy Policy explains how NEXmeet ("we", "us") collects, uses, shares, and protects information when you use our video meeting platform (the "Service").

2. Information We Collect

We collect information you provide directly (such as your account email, display name, profile photo, company logo, and uploaded content), information generated as you use the Service (such as meeting metadata, room codes, and recording activity), and limited technical information from your device and browser.

3. Account Information

When you create an account we store your email, hashed authentication credentials, display name, profile photo or avatar, optional company logo, and any preferences you save.

4. Guest Information

Guests who join via an invite link or room code may provide a display name. We store the guest name, the room code joined, and the join timestamp to operate the meeting and show participants to the host.

5. Meeting and Recording Data

Real-time audio and video are streamed peer-to-peer through our media provider and are not stored on our servers unless a host chooses to record. Recordings, when created, are stored privately in the host's Session Vault.

6. Camera, Microphone, and Screen Sharing Permissions

We request access to your camera, microphone, and screen only when you choose to use those features. Permissions are managed by your browser and can be revoked at any time.

7. Payment Information

Paid plans are processed by our payment provider (Stripe). We do not store full credit card numbers. We retain limited billing metadata such as your subscription status, plan, and last four digits of your payment method.

8. Support and Feedback Information

When you submit a support request or feedback, we collect the details you provide (such as your name, email, message, optional screenshots, and device information) so we can respond and improve the Service.

9. Cookies and Similar Technologies

We use cookies and local storage to keep you signed in, remember your preferences, and operate core features. We do not use advertising cookies. Privacy-respecting analytics may be used to understand aggregate usage.

10. How We Use Information

We use information to provide, maintain, and improve the Service; authenticate users; enable meetings and recordings; process payments; respond to support requests; send essential service emails; and protect against abuse.

11. How We Share Information

We do not sell your data. We share information only with service providers who help us operate the Service (such as our hosting, media, email, and payment providers), or when required by law.

12. Third Party Services

The Service relies on third-party providers for hosting, real-time media, email delivery, and payments. These providers process information solely on our behalf under their own privacy and security commitments.

13. YouTube Live and Streaming Services

If you stream a meeting to YouTube Live, your stream is sent directly to YouTube using credentials you provide. YouTube's privacy policy and terms apply to that broadcast.

14. Stripe Payments

Payments are processed by Stripe. Stripe collects and processes your payment information under its own privacy policy. We receive only a payment status and limited metadata.

15. Email Communications

We send transactional emails such as account verification, meeting invitations, and important account updates. You can manage subscription emails using the unsubscribe link in each message.

16. Data Retention

We retain account information for as long as your account is active. You may request deletion of your account and associated data at any time.

17. Recording Retention

Recordings are retained for as long as you keep them in your Session Vault. Deleting a recording removes it from active storage; backups may persist for a limited operational window before being purged.

18. Security

We use industry-standard safeguards including encrypted connections (HTTPS/SRTP), hashed credentials, and access controls to protect your information. No system is perfectly secure; please use a strong, unique password.

19. User Choices

You can update your profile, change your password, manage notification preferences, and delete your account from your settings. You may also revoke camera, microphone, and screen permissions at the browser level.

21. Children's Privacy

The Service is not directed to children under 13 (or the equivalent minimum age in your jurisdiction). We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us so we can remove it.

22. International Users

The Service may be operated from servers in multiple countries. By using the Service, you consent to the transfer and processing of your information in those countries.
